Room Use FAQ

I have already rented a space. Do I need to re-apply?

Yes. Even though you have already rented a space, it is best to fill out a Room Use Request form again, so we can be sure to have all the correct information for your event.

How soon should I submit a Room Use Request form?

The earlier the better, as it allows us time to process your request.

How late can I submit a Room Use Request form?

Our administration team needs at least one week to process your request.

Do you allow additional time for set up and take down?

Yes. For hourly rentals, we allow 15 minutes before and after your requested time for set up and take down.

For daily rentals or rentals longer than 4 hours, we allow 30 minutes before and after your requested time for set up and take down.

Are all the spaces at Sea to Sky Community Services accessible?

Yes. At our main office in Squamish all of our spaces are accessible during office hours. You may need assistance from our administration team to access the elevator to our second level. For our Meeting Rooms, Learning Lab and Group Room requested for after hours, the designated staff member on site will be able to assist you with using the elevator or lift.

Is insurance required to rent space?

Yes. Liability insurance protects you from potential legal demands, claims and lawsuits when you cause, or are responsible for, property damage or bodily injury to someone.

It is mandatory for all rental users, groups and individuals, to carry minimum $2 million liability insurance and additionally name Sea to Sky Community Services on it. A copy of the certificate of insurance must be provided upon completing a room use agreement form.

Can I provide liquor at my event?

No. SSCS does not permit the use of liquor in or around our facilities at any time, for any reason.

Do you have designated smoking areas?

No. SSCS does not permit any use of cigarettes, cannabis or vaping on or around the facilities at any time, for any reason.

Do I have to clean up after my use of a room?

Yes. By signing our Room Use Agreement, you agree to abide by the following conditions:

  • Dirty dishes and cups will be cleaned and placed back in the cupboard, if applicable
  • Counters, tables and other surfaces will be wiped clean
  • All lights will be turned off and doors and windows closed when exiting the building
  • The client is responsible for taking all food scraps, recycling and garbage with them to dispose of

If the above are not done to the standards of SSCS, the client may be charged for costs incurred to clean.

If I cancel my Room Use, will I be reimbursed?

Any cancellations given without written notice or under 2 business days prior to the date of the proposed use will result in a 50% cancellation fee of the amount paid agreed upon on the Room Use Agreement.

What type of event can I rent the space for?

Sea to Sky Community Services only allows the use of any space for professional use. This would include professional meetings, workshops, learning and education and health and wellness.

What are the SSCS office hours?

Squamish Office – Monday to Friday 8:30 am – 5:00 pm, closed all statutory holidays

Pemberton Office – Monday to Thursday 9:30 am – 3:00 pm, closed all statutory holidays
